How do I update my data to a new version of QuickBooks?

Your data from an earlier version of QuickBooks will update automatically the first time you open the Company file in a new version of QuickBooks. Updating your data includes backing up the Company file in its current version format so you can revert back to the previous version of QuickBooks if needed.

Do payments I make with GoPayment download into QuickBooks?

Yes. All payments made on the GoPayment app can be easily downloaded back to QuickBooks and closed as a Sales Receipt, or matched up against an open Invoice. However, if you are a QuickBooks Online users, you can additionally use the QuickBooks Mobile app to process payments. This is the preferred method since any payments made through the QuickBooks Online mobile app will automatically sync back with QuickBooks Online, versus having to be manually downloaded back when processed through the GoPayment app.

How much is it to make a bank transfer payment?

It’s a flat $0.50 per bank transfer payment, no matter how much that transaction is.

Can I control what type of payment my customer pays by?

Yes, you are in full control of how your customers can pay. When you add a Pay Now button2 to your emailed invoice, you’ll have the ability to turn on or off credit card processing and bank transfers for that particular invoice. So say you have a $15,000 invoice you only want paid by Bank Transfer. You got it. Just uncheck credit cards when you are sending your invoice and your customer will only be able to pay by Bank Transfer. If you leave both credit card and bank transfer options on, you’re likely to get paid even faster since more customers prefer to pay by credit card, but the choice is up to you. You can always resend an invoice at a later time and re-enable both payment types as well. It’s that flexible…and it’s that easy.

Do I have to sign up separately to accept credit cards AND bank transfers?

Authorize.Net allows customers to capture funds and process refunds from BigCommerce control panel. Please note at the moment, Authorize.Net only supports US and Canada for BigCommerce integration.

Does Authorize.Net accept PayPal?

Yes, as announced by Authorize.Net, they now accept PayPal payments. You can use PayPal Express Checkout feature which allows you to view your PayPal transactions made in Authorize.net in the Merchant Interface. This option is available through Authorize.Net without additional charge except PayPal standard transaction fee.  Please note that merchants should use Authorize.Net API to access this feature.

Does Authorize.Net accept PIN debit cards?

Although you can accept any type of Visa, MasterCard, Discover or American Express, unfortunately Authorize.Net only accepts Signature Debit Cards and does not support any debit card with PIN transaction. A signature debit transaction means your customer needs to sign sales receipt instead of entering PIN number. When using this type of card, transaction will be treated as credit and routed to the Credit Card Interchange instead of a PIN debit network.

Please note that Authorize.Net only supports Signature Debit Cards that have a Visa or MasterCard logo only.

How do I integrate Authorize.Net with my website?

Before integrating your website with Authorize.Net, please note this process needs coding and development skills. If you don’t have the required skills or too busy to do it on your own, please consult each step with your web developer.

In basic, there are five methods provided by Authorize.Net for customers to integrate the system with their website.

Simple Checkout

This option is suitable for merchants that posses very minimal technical (HTML) skill. In this method, merchants only need to setup “Buy Now” and “Donate” buttons that direct their customer to Authorize.Net hosted payment form. The buttons can be modified based on the product type and shipping costs. When the button’s ready, merchants can simply copy and paste the button’s HTML code on their website.

Server Integration Method (SIM)

Server Integration Methods (SIM) is a customizable and secure hosted payment form provided by Authorize.Net specifically for merchants who do not have an SSL certificate. This method uses scripting techniques to authenticate transactions with a unique transaction fingerprint. Authorize.net Server Integration Method (SIM) is bundled with osCommerce Online Merchant and is also available as a separate add-on package existing store owners can use to upgrade to.

Direct Post Method (DPM)

This is a faster and full control checkout process offered by Authorized.Net. This option gives customers complete control over the pages for better customer’s checkout experience. With this method, customers can choose to create own checkout form and host it on their own server.

Advanced Integration Method (AIM)

If you are looking for the most secure and flexible integration that supports all types of transactions (mobile, website, business apps), Advanced Integration Method (AIM) might be the best choice. This method allows merchants to host their own secure payment form on a website, mobile device, etc., and send transactions to the payment gateway using an end-to-end secure sockets layer (SSL) connection.nnAuthorize.Net Certified Solutions

When setting up Authorize.Net, you have the option to use them as your merchant service provider. The challenge with doing this is that the monthly fees and per transaction charges are significantly higher than if you set the account up through us.

Authorize.Net Standard Fees:

  1. 2.9% + $0.30 per transaction (Please note that partner merchant account fees may vary. There’s additional 1.5% assessment fee for international transactions.

How does Authorize.Net work?

Authorize.net is a payment gateway service provider allowing merchants to accept credit card and electronic payments through their website. To be able to accept payments online, there are a series of complicated process that merchants need to go through. The process can even be more complex if they want to accept different type of payment methods as this means they need to connect the website to each method one by one. In this case, a payment gateway like Authorize.net, helps make it easier to connect your website to the payment processing networks all in one.

As described by Authorize.net, their system simplifies this complex process of into a 2 to 3 seconds

The 7 steps involved in processing a transaction with Authorize.Net.

  • Step 1: The customer submits his credit card for payment.
  • Step 2: Authorize.Net manages the complex routing of the data on behalf of the merchant through the following steps/entities.
  • Step 3: Authorize.Net passes the secure transaction information via a secure connection to the Processor. The Merchant Bank’s Processor submits the transaction to the credit card network (like Visa or MasterCard). The credit card network routes the transaction to the bank that issued the credit card to the customer.
  • Step 4: The issuing bank approves or declines the transaction based on the customer’s available funds and passes the transaction results back to the credit card network. The credit card network relays the transaction results to the merchant bank’s processor. The processor relays the transaction results to Authorize.Net.
  • Step 5: Authorize.Net stores the transaction results and sends them to the website for the customer and merchant to see.
  • Step 6: The merchant delivers goods or services to the buyer.
  • Step 7: The issuing bank sends the appropriate funds for the transaction to the credit card network, which passes the funds to the merchant’s bank. The bank then deposits the funds into the merchant’s bank account. This is called “settlement”, and typically the transaction funds are deposited into the merchant’s primary bank account within two to four business days.

What is Enterprise Advanced Pricing?

The Advanced Pricing feature in Enterprise was first introduced as an add-on module in 2014 and starting in 2015, became an included feature only available in the QuickBooks Enterprise Platinum Edition. If you are a business that would benefit from automating pricing changes and discounts, this is a worthwhile feature to have as a part of your Enterprise subscription. There are four key features that are included with QuickBooks Advanced Pricing – they are:

Manufacturer Markdowns

This function will allow you to set up specific conditions and discount date-ranges for markdowns. For example, you could create a group of most active vendors that purchase from you and assign all the companies in that group a 10% discount on specific products (or on all your products) for being a frequent customer. You can even create times of year when the discounts are active to create more buying activity around those times.

Quantity Discounts

With QuickBooks Advanced Pricing, you can also create discounts based on the quantity purchased. If a customer purchases 50 to 99 units at a time, they get a 5% discount. From 100 to 150 units, the discount goes to 15% etc. QuickBooks Enterprise will automatically show the new adjusted price based on the quantity ordered.

Scheduled Promotions

Let’s say that at the end of the year, you want to close out certain items in your inventory and do an “End of Year” sale of 30% off. With QuickBooks Advanced Pricing, you can set the start and end dates of the promotion, the discount to apply, and then choose the products to discount. On that date, the products selected will automatically be discounted and will revert back to the original price at the end of the promotion.

Price Changes By Class

If you have certain products or services that you want to have adjusted as a group, you can do that as well. This could be service discounts or certain product lines that you have and again can apply to specific customer groups and for specific dates.

Why upgrade to QuickBooks Enterprise 2016 from Pro or Premier?

Are you currently using QuickBooks Pro or QuickBooks Premier and considering upgrading to QuickBooks Enterprise but not sure if it is the right move for you? One caveat to remember: your accounting software is the heart and core of your business. Users

QuickBooks Enterprise Solutions give you much more range and scalability than QuickBooks Pro or Premier. Pro can only handle up to 3 users and Premier up to 5, while Enterprise can go from 1 to 30.

Speed and Networking Capability

QuickBooks Enterprise was designed for working on a network vs as a single user so if you are thinking about putting your software on a server and having multiple users access it locally or remotely, the performance from Enterprise is going to be much better.

Support

Pro and Premier only provide “overseas” support for 30 days and then you are on your own or have to pay per incident. QuickBooks Enterprise includes unlimited free support for both customer service and technical issues for the life of your subscription. One of the nicest features is that the support is all US based and handled by Enterprise specialists.

Database Capability

If you like keeping your QuickBooks files for a long time or make lots of entries or transactions, you may find yourself running into the limits on Pro and Premier. You have a cap of 14,500 list limits as well as a company file size limit of around 250MB. Once you start bumping into this you risk damage, corruption or failure of your file. Enterprise gives you over 100,000 list entries and about 10 times the company file limits. This means that you can keep an enormous amount of past data without having to purge your older files.

You can schedule automated discount “trigger” date for sales and discounts and assign them to specific customer groups. These features are not available in QuickBooks Pro or Premier.

Payroll

If you are thinking about using Intuit Payroll services and paying more than a couple employees, this is a huge check in the Enterprise column. In both QuickBooks Pro and QuickBooks Premier, you have to add payroll as a separate annual expense. For Intuit Enhanced Payroll – the most popular payroll option-this usually runs about $500-$600 per year and has direct deposit fees of $1.75 per employee/per payroll deposit. If you have more than a couple employees, the direct deposit fees added to the annual cost of payroll, can add up quick. With the Enterprise Gold Subscription, you get Enhanced payroll included with no direct deposit fees! In many situations, this can pay for Enterprise and put some money back in your pocket as well!

User Permissions

If you need specific user permissions, then Enterprise allows for much more in the way of customization. You have 115 different options and 14 predefined user roles for really drilling down to access for any given person in your organization vs. the simple structure found in QuickBooks Pro and Premier.

Reporting

QuickBooks Pro gives you very basic level reporting and limited customization. QuickBooks Premier gives you some enhanced reporting in the Industry Editions- Contractor, Non-Profit, Retail, Professional Services, Contractor and Manufacturing and Wholesale. Enterprise gives you the same industry reporting as Premier but also includes the Advanced Reporting module that allows you to build and create custom reports and graphs from any data in your QuickBooks. This feature is included for free in all the Enterprise subscription levels – Silver, Gold and Platinum.

Multiple Company Files

Enterprise gives you the ability to work within multiple company files at the same time as well as do consolidated reporting for multiple companies. Pro and Premier can only work with one company file at a time.

Integrated Payments

All versions of QuickBooks software have the ability to connect integrated payments through Intuit. This is a great feature that allows you to accept payments from customers right in the software in addition to allowing customers to pay immediately by clicking a link on their emailed invoice. The big difference is that QuickBooks Enterprise Merchant Services gives a big break in the processing fees. If you do a lot of transactions, this alone can pay for the software in the short and long term.

Does QuickBooks Enterprise require a server?

The answer to weather or not you will need to use a server with QuickBooks Enterprise will come from knowing if you want multiple people to access your Enterprise data file from the same or remote locations. Since QuickBooks Enterprise is a software based platform you can configure it in multiple ways.

Single User QuickBooks Enterprise

If you only have a one user license of Enterprise you can either have the software located “locally” on your computer or can have it set up for remote access. The local install is just a simple download to your computer. When you want to use the software, you just use it on the computer that you installed it on. If you are using a desktop computer (vs. a portable laptop) and want to have access (or give somebody else remote access to your data such as an accountant or bookkeeper), then cloud hosting for Enterprise is probably the best way to go. This would allow your software and company files to be located on a third party server and then give you and others the ability to “log in” to use Enterprise. Multiple User QuickBooks Enterprise

If you have multiple users of Enterprise and want to have employees access the software at the same time, then you either need to either set up an internal server network or have your QuickBooks Enterprise hosted in the cloud. If you decide to set up a company network, you will most likely want to hire an IT specialist depending on the complexity of what you need. One thing that you will want to do is install and configure the QuickBooks Database Server Manager on the main computer that will be storing your company files. This will allow the data from your main company file to be shared with the other computers on the network.

If you are not wanting to set up and manage a company network, then cloud hosting for your QuickBooks Enterprise may again be the best solution. It gives you all the advantages of setting up a network minus the fact of setting it up and having to maintain it. Although there is a monthly cost per user, it is in many cases much less expensive overall than hiring a IT specialist, licensing, and maintaining the network yourself. Does QuickBooks Enterprise include payroll?

Older versions of QuickBooks Enterprise (prior to the 2015 version) were sold as a software only option with specific add-on modules that you could purchase to activate features like Advanced Inventory or Advanced Pricing. Intuit payroll was one of those modular features as well and came in two different flavors – a more user involved Enhanced Payroll and the all-inclusive Full Service Payroll. Depending on which one you chose, you would spend an additional $400 to $1,200 per year for the service plus an additional $1.75 for each employee for each payroll period.
