Top 3 Tips and Tricks for QuickBooks (Part 3)

Tips & Tricks

QuickBooks is one of the most popular accounting software packages in the world. It was developed by Intuit, a company founded in 1983 which works exclusively in this field. QuickBooks was released in 1994 as a combination of two other accounting software programs. QuickBooks is popular especially among small businesses and what makes this software solution so successful is the fact that Intuit is continuously working on improvement of the way this program functions.

The are several add-on programs and an online version of this program too. This program comes with dozens of features and if you have ever used it you are probably aware of that. It will take some time before you learn most of the features but the fact is that you probably won’t need all of them because some of them are used only in specific industries.  However, if you want to ease your job, or you are looking for an answer for some of your questions, we suggest you check some of these tips and tricks for QuickBooks and see whether you might your answer here or not.

Tracking Freight

One of the reasons why people use QuickBooks is to track freight for the process of re-supplying of inventory. The easiest way to track this is to include the freight in the value of the products that you are buying from the same vendor. For example, if you sell some inventory part, QuickBooks credits Inventory asset and debits cost of goods sold. However, what QuickBooks lacks is a tool that will allow users to burden the inventory values with the paid freight for the transportation. The easiest way to solve this problem is to increase the per-unit value (cost) and include the freight in it. Remember that this task should be completed timely (as of the date of the bill).

Sales Forms

There are many reasons why you would want to include some items on a sales form and this is probably the reason why such forms exist in QuickBooks. However all the details of these forms are available for the customers too and in some cases this is not advisable. This is why you need to find a way to hide certain parts of these sales forms when you show them to the customers and make them available when you use them for internal reporting. The best way to overcome this issue is to use QuickBooks Group items. These group items will allow you to show and hide info quickly.

Using Fields

In case you didn’t know QuickBooks allows users to make combinations between standard fields and custom fields. But, when you try to create custom reports based on custom field info, the reports could get distorted. In this way you can easily lose or mix information. This happens because QuickBooks doesn’t allow creation of custom fields with drop down menu with a corresponding list included. The easiest solution for this issue is to re-purpose fields which contain drop down menu by default support by a corresponding list.
