Does Quickbooks Online Plus have inventory?

Although QuickBooks Online Plus has the ability to track inventory it is not the same as Advanced Inventory found in QuickBooks Enterprise.  QuickBooks Enterprise allows for features like barcode scanning and assemblies and to do the same in Online Plus you would need to add apps to get the equivalent functionality.  If you are looking for inventory tracking that includes functionality like barcode scanning, tracking by lot, bin and serial number, landed cost, FIFO, assemblies, or pricing rule automation, you would want to take a look at QuickBooks Enterprise Platinum or QuickBooks Enterprise Diamond edition as they come standard with those features.  If you need something with remote access, you can always get the Cloud Hosted version of  Enterprise so that you have the ability to access your data anytime and on any platform.

Does Quickbooks Online Plus have time tracking?

Yes.  Basic time tracking is a built-in feature that is available in QuickBooks Online Plus and QuickBooks Online Advanced. You can use this feature to track and bill customers for the number of hours consumed in a project or activity. All you have to do is enable this feature from the settings.  Here are the instructions below:

  1. Go to Gear at the top, then select Account and Settings.
  2. Choose Advanced.
  3. Tap the pencil to the right of Time tracking. Then, turn on Make Single-Time Activity Billable to Customers and Add Service field to timesheets. When either of these is checked, employees and contractors who fill out timesheets can specify if activities should be billed to a customer.

Does Quickbooks Online Plus include automated workflows?

No.  Automated workflows are not a part of Online Plus but are included in QuickBooks Online Advanced.

With QuickBooks Online Advanced, you can use workflows to automate common tasks in QuickBooks, like sending payment reminders, or new invoices to customers. You can also send reminders to your team to complete specific tasks, like reviewing open invoices.  You set the conditions to tell QuickBooks when to send reminders and to whom. Whenever the conditions are met, QuickBooks Online will send out a reminder.  This is a great feature to have if you are looking to do away with manually doing repetitive tasks or would like higher priority items to have a qualified person approve them.

Can QuickBooks Online Plus do purchase orders?

Yes.  The purchase order functionality in QuickBooks Online Plus allows you to easily create professional purchase orders and then convert POs to invoices once orders are complete. Here are some of the key features:

  1. Easily create purchase orders, complete with custom PO numbers, with QuickBooks. Add your company logo, colors, address, and other custom fields. If you frequently work with a particular vendor and make recurring purchases, you can set it up one time as a recurring purchase and forget it!
  2. Once an order is complete, QuickBooks automatically copies the items, quantities, and rates from your purchase order and turns it into a bill.
  3. By using the Vendor Dashboard in QuickBooks Online, you can see your vendor’s details including unbilled POs, open bills, overdue bills, and bills that have been paid.

Here is how to turn on and create a purchase order in QuickBooks Online:

  1. Go to the Gear icon.
  2. Select Account and settings.
  3. Select the Expenses tab.
  4. In the Purchase orders section, Click the Edit icon.
  5. Turn on the Use purchase orders option.
  6. Click Save and then Done.

After that, follow these steps to create and send a purchase order to your vendors:

  1. Click the + New button, then select Purchase order.
  2. Set the appropriate vendor, then review the mailing address.
  3. If you are shipping the products directly to a customer, select Ship to the drop-down menu and then Ship via. Check the Shipping address to make sure it’s correct.
  4. Enter the purchase order date.
  5. In the Item details section, enter the products you want to purchase.
  6. When you’re done, select Save or Save and send.

Can QuickBooks Online Plus do estimates?

Yes.  If you create estimates, bids, quotes, or proposals for prospective customers before you start a job then you can create all those in QuickBooks Online Plus, email them to customers, and then convert them into invoices after you complete the work.

Here’s how to create and customize a new estimate in QuickBooks Online Plus:

  1. Select + New, then select Estimate.
  2. Select + Add customer. Then select a customer from the ▼ dropdown. Or, to add a new customer, select +Add new, enter the customer info and select Save and close.
  3. Select the ▼ dropdown in the Product or service field and add the products or services to the estimate. Or, to add a new product or service, select + Add new, enter the info for your product or service, and select Save.
  4. If you saved a rate for your product or service, it automatically displays in the Amount column. Add or adjust the quantity or amount as needed.
  5. The default status of a new estimate is “Pending”. If you need to edit the status, select the Pending ▼ dropdown and choose a different status.
  6. To customize the estimate, select Estimate settings in the side panel and select the ▼ dropdown by each section to expand the details. Then, choose what info displays on your form by turning the switches on or off in each section. As you make changes, a preview displays on the form.
  7. When you’re ready, select Save.
  8. To email the estimate to your customer, select Review and send. Then edit the email message, if necessary, and select Send estimate.

Can QuickBooks Online Plus do budgets?

Yes.  In QuickBooks Online Plus and Advanced, you can create budgets based on your accounting data. Once your budgets are in QuickBooks, you can review and adjust them, and run financial reports to compare your actual sales and expenses with your budget.

Here’s how you create a budget in QuickBooks Online Plus:

  1. Go to Settings ⚙ and select Budgeting.
  2. Select Add budget.
  3. In the Name field, enter a name for the budget.
  4. From the Fiscal Year ▼ dropdown, select the fiscal year you’re creating the budget for.
  5. From the Interval ▼ dropdown, select whether you want the budget to display MonthlyQuarterly, or Yearly.
  6. Select the actual date year from the Pre-fill data ▼ dropdown if you’d like QuickBooks to prefill your budget with actual data from your chart of accounts.
    Note: if you use the pre-fill data and you change your mind, you’ll have to start over to delete the data. Select the to close the budget and start over.
  7. Use the Subdivide by ▼ dropdown to subdivide the budget further.
  8. When you’re ready, select Next or Create Budget.
  9. Enter your budget for each account for each month. Use the report you saved in Step 2 if needed.
  10. When you’re satisfied with your budget, select Save or Save and close.

Can QuickBooks Online Plus do invoicing?

Yes.  QuickBooks Online Plus lets you customize, create, and send invoices.  Below are the steps to create an invoice in QuickBooks Online Plus.

Create an invoice in QuickBooks Online Plus:

  1. Select + New.
  2. Select Invoice.
  3. Select Add customer and choose a customer from the ▼ dropdown. Make sure all of their info is correct, especially their email address.
  4. Review the Invoice dateDue date, and Terms. Enter new dates or terms, if you need to. Tip: In the Terms field, Net refers to the number of days until the payment is due.
  5. Select Add product or service and select a product or service from the ▼ dropdown.
  6. Select how you want to calculate the charge amount—flat rate, by hour, or by item. Enter a quantity and rate, if needed.
  7. To customize the info or design of your invoices, select ⚙ Manage. Then select the options from the side panel. QuickBooks remembers your choices and applies them to all existing and future invoices.
  8. When you’re done, there are several options for saving or sharing the invoice:
    • If you’re ready to send the invoice, select Review and send to email the invoice to your customer. Adjust the email if needed, then select Send invoice.
    • To send the invoice later, select Save and close.
    • To print a paper invoice, select Print and download.
    • If you’ve received a payment from the customer, select Receive Payment.
    • To send your customer a link to their invoice through text message, select Share link.

What is the difference between QuickBooks Online Plus vs QuickBooks Desktop Enterprise?

There are many differences between QuickBooks Online Plus and QuickBooks Enterprise but the biggest difference straight out of the gate is that Enterprise is a desktop “on-premise” version of the software while QuickBooks Online is a web-based version of the software.  This means you can access Online Plus from any computer, phone, or tablet vs always having to use a Windows computer to access your data.  Enterprise does have a solution for this by adding cloud-hosted access and for most people that need the features only found in Enterprise, that fills the gap.

Although both have their pros and cons, it really comes down to the type of business you have and the functionality you need.  If you are a service-style business with no heavy demands for inventory tracking or assemblies, QuickBooks Online Plus will probably suit you just fine, and if you need to add some functionality, there are lots of apps that you can bolt on that will get you where you need.  On the other hand, if you need more specific functionality like barcode scanning, tracking by lot bin or serial numbers, automated pricing rules, or assembly builds, QuickBooks Enterprise would be a better place to start.

Can I customize roles and user permissions in QuickBooks Online Plus?

No.  You can only create and manage custom roles in QuickBooks Online Advanced.  QuickBooks Online Plus allows you to use the standard roles and customize what people can see within those parameters.  Here are the different preset roles that you can manage in Plus:

  1. Primary Admin: The primary admin is the main user who has access to every part of the QuickBooks account. They can manage all users and other admin tasks. By default, the primary admin is the person who initially set up the account.  If you need to assign a new primary admin, you can transfer the role to another user.
  2. Company Admin:  A company admin has access to every part of the QuickBooks account. They can do everything the primary admin can do, except edit or remove the primary admin’s access.
  3. Custom User (Only available in QuickBooks Online Advanced):  This user can have specific access to areas in QuickBooks Online. This gives you even more control over what they see or do. For example, you can allow a custom user to see only the Bank Deposit screen.
  4. Standard User:  You can set different levels of access for this user. They can work with customers, sales, vendors, and expenses. These users can enter timesheets, add users, update company info, or manage subscriptions.

No.  QuickBooks Online Plus does not have the ability to track employee expenses.  To be able to track employee expenses, you would need to use the QuickBooks Online Advanced version.  In Advanced, these are the features that you have when it comes to employee expense tracking:

  • Employees can upload expense receipts directly to QuickBooks, so your records are up to date and complete.   
  • Receipt capture allows you to save time tracking and recording your receipts from vendors. You can use the mobile app to upload them to QuickBooks Online from your computer or mobile device, or even from your email account.  Once you do, QuickBooks extracts info from it and creates a transaction for you to review.  From there, you can edit the receipt, add it to an account, or match it to an existing transaction in the Receipts tab.
  • Review each employee expense, make adjustments and add them to your books—all within QuickBooks.

Can you track projects and jobs in QuickBooks Online Plus?

Yes, Both QuickBooks Online Plus and QuickBooks Online Advanced will allow you to create and use projects to track your project’s profitability. You can add project income, expenses, and labor costs, and run project-specific reports from a single dashboard. If needed, you can also add old transactions to new or ongoing projects.  Here are the steps below on how to set up and add transactions to a project:

Step 1: Create a new project

  1. Go to Business overview and select Projects
  2. Select New project.
  3. In the Project name field, enter the project name.
  4. Select the project customer from the Customer ▼ dropdown.
  5. Add any notes or details about the project in Notes.
  6. Select Save.

After you’ve created a project, you can add both new and existing transactions to the project.

Step 2: Add new transactions to a project

You can add new transactions like invoices, expenses, or estimates directly into your project. Adding transactions to projects won’t change how they’re categorized or affect your accounts. You’re simply marking them as a part of the project so you can track a specific project’s income and expenses.

There are two ways to add new transactions. You can create the transaction in QuickBooks as you normally would. Just enter the project name in the Customer/Project dropdown. Or here’s how to create a new transaction from within projects:

  1. Go to Business overview and select Projects
  2. Select your project.
  3. Select Add to project to create a new transaction.
  4. Select InvoiceReceive PaymentExpenseEstimateTime, or Bill.
  5. Fill out the details for the transaction as you normally would.
  6. Select Save and close.

Step 4: Add existing expenses to a project

If you have existing expense transactions that you’ve already added to QuickBooks, like bills, checks, expenses, or purchase orders, here’s how to add them to your project:

  1. Go to Bookkeeping, select Transactions, then select Expenses.
  2. Find and open the transaction you want to add to your project.
  3. In the Customer/Project column, select the ▼ dropdown. Then select the project. Do this for each expense item you want to add to your project. This is different from the payee for the expense. Note: If you don’t see the Customer/Project column, you can turn on the setting Track expenses and items by the customer in the Expense section of your QuickBooks account.
  4. Select Save and close.

Does Quickbooks Online Advanced include time tracking?

Yes.  Basic time tracking is a built-in feature that is available in QuickBooks Online Advanced. You can use this feature to track and bill customers for the number of hours consumed in a project or activity. All you have to do is enable this feature from the settings.  Here are the instructions below:

  1. Go to Gear at the top, then select Account and Settings.
  2. Choose Advanced.
  3. Tap the pencil to the right of Time tracking. Then, turn on Make Single-Time Activity Billable to Customers and Add Service field to timesheets. When either of these is checked, employees and contractors who fill out timesheets can specify if activities should be billed to a customer.
  4. Click Save and then Done. See attached image below.

Does Quickbooks Online Advanced include automated workflows?

Yes.  With QuickBooks Online Advanced, you can use workflows to automate common tasks in QuickBooks, like sending payment reminders, or new invoices to customers. You can also send reminders to your team to complete specific tasks, like reviewing open invoices.  You set the conditions to tell QuickBooks when to send reminders and to whom. Whenever the conditions are met, QuickBooks Online will send out a reminder.  Here is how to set up a workflow from a template:

To create workflows from QuickBooks templates:

  1. Select the Workflows menu. Or select Settings ⚙ and then Manage Workflows.
  2. Select the Templates tab.
  3. Find the template you want to use, and select Create.
  4. Give the workflow a name, or use the default name.
  5. In the Conditions section, select the conditions. This determines what activates reminders. Note: You can set multiple conditions for some workflows. To add more, select Add Condition. All conditions need to be met to start the workflow.
  6. In the Actions section, select the actions QuickBooks will take when the conditions are met. This determines what happens after the template activates.
  7. Select the Send email checkbox to send the reminders as emails. On some workflows, you can also select the Send Mobile Notification checkbox to send a push notification to a user through the QuickBooks Online Mobile App.
  8. Edit the message in the Subject and Message body sections as needed.
  9. The highlighted fields are variables. The variables populate the reminder message with your company or customer info. To change the variable, enter #, then select the variable you want to use like vendor, name, due date, or amount. Note: Erasing or overwriting the highlighted fields will affect all reminders.
  10. When you’re done, select Save and Enable to turn on your workflow.

Create a custom workflow from scratch:

  1. Select the Workflows menu. Or select Settings ⚙ and then Manage Workflows.
  2. Select the Templates tab.
  3. Select +Custom workflow to create a new template.
  4. In the Workflow name field, enter a name for the template.
  5. In the ▼ dropdown for Choose a source, select the template type: invoice, bill, or estimate.
  6. In the When this happens section, use the ▼ dropdowns to select the conditions. Select +Add another condition to create more conditions.
  7. In the Do this in QuickBooks section, select the actions QuickBooks will take when the conditions are met. This determines what happens after the template activates.
  8. In the How would you like this action to happen?, select the checkboxes to tell QuickBooks how to send the reminder. Then select the corresponding ▼ dropdown for options on assigning the reminder. The options that display depend on the type of reminder you select.
    Note: The highlighted fields in the template are variables. The variables populate the reminder message with your company or customer info. To change the variable, enter #, then select the variable you want to use like customer name, company name, or amount.

    • Create a reminder in Tasks: This creates a new task in the Tasks menu. You can choose who you want to assign the task to and the name of the task. You can also choose to close the task manually or have QuickBooks close the task for you when the action is taken, like when your invoice or bill is paid.
    • Send a customer email: This sends an email directly to your customer and any email address you add with the CC (carbon copy) or BCC (blind carbon copy) option. You can also customize the subject and email message of the template.
    • Send a company email: You can choose to send an email to someone within the company. Define the subject and body or use the defaults.
    • Send a push notification: This sends a push notification to a user through the QuickBooks Online mobile app.
  9. When you’re done, select Save and enable to turn on your workflow.

Manage and modify your workflows:

Here’s how to make sure your workflows are running the way you want them to.

  1. Select the Workflows menu.
  2. Select the History tab.
  3. Review your completed workflows.

Can QuickBooks Online Advanced do purchase orders?

In QuickBooks Online Advanced, you have the tools to run all parts of the sales cycle, including purchasing. You can create and email purchase orders (PO) directly to vendors when you’re ready to buy more products. Purchase orders tell vendors your intent to make a purchase.  Here are some of the key features:

  1. Easily create purchase orders, complete with custom PO numbers, with QuickBooks. Add your company logo, colors, address, and other custom fields. If you frequently work with a particular vendor and make recurring purchases, you can set it up one time as a recurring purchase and forget it!
  2. Once an order is complete, QuickBooks automatically copies the items, quantities, and rates from your purchase order and turns it into a bill.
  3. By using the Vendor Dashboard in QuickBooks Online, you can see your vendor’s details including unbilled POs, open bills, overdue bills, and bills that have been paid.

Here is how to turn on and create a purchase order in QuickBooks Online:

  1. Go to the Gear icon.
  2. Select Account and settings.
  3. Select the Expenses tab.
  4. In the Purchase orders section, Click the Edit icon.
  5. Turn on the Use purchase orders option.
  6. Click Save and then Done.

After that, follow these steps to create and send a purchase order to your vendors:

  1. Click the + New button, then select Purchase order.
  2. Set the appropriate vendor, then review the mailing address.
  3. If you are shipping the products directly to a customer, select Ship to the drop-down menu and then Ship via. Check the Shipping address to make sure it’s correct.
  4. Enter the purchase order date.
  5. In the Item details section, enter the products you want to purchase.
  6. When you’re done, select Save or Save and send.

Can QuickBooks Online Advanced do estimates?

Yes.  If you create estimates, bids, quotes, or proposals for prospective customers before you start a job then you can create all those in QuickBooks Online Advanced, email them to customers, and then convert them into invoices after you complete the work.

Here’s how to create and customize a new estimate:

  1. Select + New, then select Estimate.
  2. Select + Add customer. Then select a customer from the ▼ dropdown. Or, to add a new customer, select +Add new, enter the customer info and select Save and close.
  3. Select the ▼ dropdown in the Product or service field and add the products or services to the estimate. Or, to add a new product or service, select + Add new, enter the info for your product or service, and select Save.
  4. If you saved a rate for your product or service, it automatically displays in the Amount column. Add or adjust the quantity or amount as needed.
  5. The default status of a new estimate is “Pending”. If you need to edit the status, select the Pending ▼ dropdown and choose a different status.
  6. To customize the estimate, select Estimate settings in the side panel and select the ▼ dropdown by each section to expand the details. Then, choose what info displays on your form by turning the switches on or off in each section. As you make changes, a preview displays on the form.
  7. When you’re ready, select Save.
  8. To email the estimate to your customer, select Review and send. Then edit the email message, if necessary, and select Send estimate.

Can QuickBooks Online Advanced do budgets?

Yes.  In QuickBooks Online Advanced, you can create budgets based on your accounting data. Once your budgets are in QuickBooks, you can review and adjust them, and run financial reports to compare your actual sales and expenses with your budget.

Here’s how you create a budget:

  1. Go to Settings ⚙ and select Budgeting.
  2. Select Add budget.
  3. In the Name field, enter a name for the budget.
  4. From the Fiscal Year ▼ dropdown, select the fiscal year you’re creating the budget for.
  5. From the Interval ▼ dropdown, select whether you want the budget to display MonthlyQuarterly, or Yearly.
  6. Select the actual date year from the Pre-fill data ▼ dropdown if you’d like QuickBooks to prefill your budget with actual data from your chart of accounts.
    Note: if you use the pre-fill data and you change your mind, you’ll have to start over to delete the data. Select the to close the budget and start over.
  7. Use the Subdivide by ▼ dropdown to subdivide the budget further.
  8. When you’re ready, select Next or Create Budget.
  9. Enter your budget for each account for each month. Use the report you saved in Step 2 if needed.
  10. When you’re satisfied with your budget, select Save or Save and close.

Can QuickBooks Online Advanced do invoicing?

Yes.  QuickBooks Online Advanced lets you create and send both single invoices as well as multiple invoices at the same time. You also have the ability to send the same invoice to multiple customers all in one go.  Below are the steps to create a single invoice and multiple invoices at the same time:

Create an invoice in QuickBooks Online Advanced:

  1. Select + New.
  2. Select Invoice.
  3. Select Add customer and choose a customer from the ▼ dropdown. Make sure all of their info is correct, especially their email address.
  4. Review the Invoice dateDue date, and Terms. Enter new dates or terms, if you need to. Tip: In the Terms field, Net refers to the number of days until the payment is due.
  5. Select Add product or service and select a product or service from the ▼ dropdown.
  6. Select how you want to calculate the charge amount—flat rate, by hour, or by item. Enter a quantity and rate, if needed.
  7. To customize the info or design of your invoices, select ⚙ Manage. Then select the options from the side panel. QuickBooks remembers your choices and applies them to all existing and future invoices.
  8. When you’re done, there are several options for saving or sharing the invoice:
    • If you’re ready to send the invoice, select Review and send to email the invoice to your customer. Adjust the email if needed, then select Send invoice.
    • To send the invoice later, select Save and close.
    • To print a paper invoice, select Print and download.
    • If you’ve received a payment from the customer, select Receive Payment.
    • To send your customer a link to their invoice through text message, select Share link.

How to create multiple invoices at once:

  1. Select + New.
  2. Select Batch transactions.
  3. In the Select transaction type ▼ dropdown, select Invoices.
  4. Select any of the fields on line 1 to start. This is your first invoice.
  5. Enter info into the fields. These are the same fields you see on a regular form.
    Tip: In the Product/Service field, select the + to add multiple products and services to that invoice. Or, select More options, then New line item.
  6. Select line 2 to add a new invoice. To delete an invoice, select More options, then Delete invoice.
  7. Enter as many invoices as you need.

Is Fathom reporting free with Quickbooks Online Advanced?

No.  Fathom reporting used to be included in QuickBooks Online Advanced but is no longer.  Here is the statement from Intuit:  As of June 1, 2022, we will no longer be offering Fathom with new purchases of QuickBooks Online Advanced. If you have an existing paid Fathom subscription, or if you had one before transferring it to QuickBooks Online Advanced, your subscription will revert to standard pricing on Aug.

Can I customize roles and user permissions in QuickBooks Online Advanced?

Yes, you can.  When you assign the standard user role, QuickBooks lets you choose the user’s access rights. You can choose to give them all access, limited access, or none. Here are the 4 primary roles in QuickBooks Online Advanced:

  1. Primary Admin: The primary admin is the main user who has access to every part of the QuickBooks account. They can manage all users and other admin tasks. By default, the primary admin is the person who initially set up the account.  If you need to assign a new primary admin, you can transfer the role to another user.
  2. Company Admin:  A company admin has access to every part of the QuickBooks account. They can do everything the primary admin can do, except edit or remove the primary admin’s access.
  3. Custom User:  This user can have specific access to areas in QuickBooks Online. This gives you even more control over what they see or do. For example, you can allow a custom user to see only the Bank Deposit screen.
  4. Standard User:  You can set different levels of access for this user. They can work with customers, sales, vendors, and expenses. These users can enter timesheets, add users, update company info, or manage subscriptions.

Here is how you create a new role and assign it to a user:

  1. Go to Settings ⚙, then select Manage users.
  2. Select the Roles tab, then select Add.
  3. Enter a role name and description.

If you have a new user, you’ll need to add them in QuickBooks and assign a role.

  1. Go to Settings ⚙, then select Manage users.

Can you track projects and jobs in QuickBooks Online Advanced?

Yes, QuickBooks Online Advanced will allow you to create and use projects to track your project’s profitability. You can add project income, expenses, and labor costs, and run project-specific reports from a single dashboard. If needed, you can also add old transactions to new or ongoing projects.  Here are the steps below on how to set up and add transactions to a project:

Step 1: Create a new project

  1. Go to Business overview and select Projects
  2. Select New project.
  3. In the Project name field, enter the project name.
  4. Select the project customer from the Customer ▼ dropdown.
  5. Add any notes or details about the project in Notes.
  6. Select Save.

After you’ve created a project, you can add both new and existing transactions to the project.

Step 2: Add new transactions to a project

You can add new transactions like invoices, expenses, or estimates directly into your project. Adding transactions to projects won’t change how they’re categorized or affect your accounts. You’re simply marking them as a part of the project so you can track a specific project’s income and expenses.

There are two ways to add new transactions. You can create the transaction in QuickBooks as you normally would. Just enter the project name in the Customer/Project dropdown. Or here’s how to create a new transaction from within projects:

  1. Go to Business overview and select Projects
  2. Select your project.
  3. Select Add to project to create a new transaction.
  4. Select InvoiceReceive PaymentExpenseEstimateTime, or Bill.
  5. Fill out the details for the transaction as you normally would.
  6. Select Save and close.

Step 4: Add existing expenses to a project

If you have existing expense transactions that you’ve already added to QuickBooks, like bills, checks, expenses, or purchase orders, here’s how to add them to your project:

  1. Go to Bookkeeping, select Transactions, then select Expenses.
  2. Find and open the transaction you want to add to your project.
  3. In the Customer/Project column, select the ▼ dropdown. Then select the project. Do this for each expense item you want to add to your project. This is different from the payee for the expense. Note: If you don’t see the Customer/Project column, you can turn on the setting Track expenses and items by the customer in the Expense section of your QuickBooks account.
  4. Select Save and close.
